Festival Vendor Information and Terms/Conditions

Festival Vendors and their offerings are important and valued contributors to this event. Tell us about what you are offering and what you need on your application, so we can organise a layout that works as well as possible for all parties.

1. All festival vendors need to provide their own set-up requirements. There are a limited number of stall sites available and no powered sites.
2. Stall site charge rates: 3m x 3m site $100  |  6m x 3m site $200
   Extra charge for vehicle unless integral part of stall – $50.00 per site (prearranged only – see form). Limited sites available that can hold vehicles.
3. Registration and payment close Friday 12th February 2027 (unless all sites presold prior). Late applications may not be accepted.

Payment options

Invoices will be emailed out once registration has been accepted and processed. Invoices will have a 7-day payment term. Credit card or Internet Banking are accepted.

4. If the event is cancelled due to weather a refund of 50% of the stall site charge is available. If the event is cancelled due to government regulation requirements a full refund minus a $10 administration fee is available. Refunds on application within 7 days of event date.
5. Our festival is primarily a celebration of Far North creativity, products, food and wine. All applications will be welcomed and considered. Acceptance is at the sole discretion of Doubtless Bay Business Association Inc. (DBBA).

DBBA's undertaking to the Festival Vendors is to do our best to create a successful event by running an extensive marketing campaign, obtaining necessary licenses/permits, organising entertainment, recycling and transport, recruiting volunteers for roles on the day, managing relationships and the performance of the one-day running of the festival.

Festival Vendor Terms and Conditions

Vendor set up

6. Stall sites will be allocated along Waterfront Drive, Mangonui between Tasman St and the Mangonui Wharf. Refer map, which will be supplied as part of your vendor pack. DBBA Inc reserves all rights in respect of location and allocation of stalls.
7. Stall set up will be from 9.00am on the day (Saturday 3rd April 2027). Sites are within zones and each zone has an allocated set-up time. Stallholders MUST arrive and be set up by the start time of 12 noon. This includes removing vehicles.
   Festival Vendors that arrive late will not be able to access the venue for stall set up.
8. All stall sites are situated on the sealed road. Gazebos will need securing using weight bags.
9. Sites will be allocated once the signed Application Form & payment is received and after applications have closed.
   Festival Vendors will receive staff wristbands once entered through the check-in station at the main entry points on the day. Each stall receives 2 wristbands for a 3x3m registration & 4 wristbands for a 3x6m registration. Additional wristbands will be charged at $15 each.
   Festival Vendors must only use the site/s assigned to them.
10. Only one vehicle per stall will be permitted on the stall site for unloading and setting up. After set-up, the vehicle must then be moved to the vehicle parking area by 11.30am. Exceptions may be made in the case of a dedicated vehicle, e.g. a refrigerated trailer, by agreement with DBBA. This will need to be arranged in advance & must fit on booked sites.
    No exceptions will be made on the day. DBBA reserves the right to have unauthorised vehicles towed away.
11. Only items listed on the Application Form may be sold.
12. No open flame appliances are permitted. Gas cooking/generators only.
13. DBBA asks that Festival Vendors do not clear their stall site until the end of the event and the road has reopened (beginning 6pm).

Risk management

14. DBBA accepts no responsibility for any theft, loss or damage to property.
15. Festival Vendors accept responsibility to ensure the health and safety of their staff, visitors and others related to the setup, pack down and running of their site while at the 2027 Mangonui Waterfront Festival and will comply with all relevant health and safety legislation including without limitation the Health and Safety at Work Act 2015.
16. Festival Vendors are responsible for their own public liability insurance as it relates to their designated stall site.
17. Festival Vendors indemnify Doubtless Bay Business Association Inc for any losses caused by the actions of the Festival Vendor.

Compliance

18. All Festival Vendors agree to adhere to the District Council bylaws referring to any special licence obtained by the DBBA committee (a copy will be enclosed in the stallholder pack emailed out).
19. Food vendors need to be registered unless selling food as a fundraiser, and must comply with all food safety regulations as administered by the Far North District Council.
20. The Mangonui Waterfront Festival supports zero waste. All food sold must be in compostable or recyclable containers and no plastic bags will be permitted for "giveaways" or customer purchases.
21. Doubtless Bay Business Association Inc reserves the right to cancel the festival in the event of adverse weather conditions or Government regulation requirements.
